The CTC Board

The Creemore Tennis Club runs thanks to the kind donation of time and effort by our volunteer Board, elected to manage all aspects of the club, its events, and its membership. We are expanding our board opportunities in the 2026 season to ensure the success and strength of our club while welcoming new ideas and skills.

President

Event Director & Secretary

Vice-President

  

Purpose:
Provides overall leadership, governance oversight, and strategic direction while ensuring the smooth and sustainable operation of the Club.


Term:
2 year term, maximum of 2 terms. Movement to Ex-Officio after term limit reached.


Core Responsibilities:

  • Serve as the primary      representative and spokesperson of the Club.
  • Ensure compliance with the constitution, by-laws, policies, insurance, and risk management      requirements.
  • Chair Board meetings and the AGM; oversee agendas and governance processes.
  • Approve expenditures and contracts as authorized under the constitution.
  • Establish committees and appoint committee leads as required.
  • Oversee volunteer governance and succession planning across all roles.
  • Act as escalation point for member concerns, disputes, or disciplinary matters.
  • Maintain relationships with the local tennis association, municipality, facility owners, and sponsors.
  • Support long-term planning related to facilities, membership growth, and programming.

Vice-President

Purpose:
Supports the President and ensures continuity of leadership and operations.


Term:
1 year term, maximum of 3 terms. Eligible to switch board role when maximum term reached.


Core Responsibilities:

  • Reports directly to the President and acts on behalf of the President when required.
  • Lead special initiatives or projects as delegated by the President.
  • Support governance reviews, policy updates, and strategic planning.
  • Assist with volunteer recruitment and retention, including identifying future board candidates.
  • Serve as a liaison to committees and volunteers to ensure alignment and engagement.
  • Support conflict resolution and member communications when escalated.
  • Provide oversight of facilities and court standards, ensuring appropriate accountability for      maintenance and safety.

Purpose:
Drives member engagement through events while maintaining effective governance records.


Term:
1 year term, maximum of 3 terms. Eligible to switch board role when maximum term reached.


Core Responsibilities:

Events:

  • Plan and manage all unpaid social events including tournaments, round robins, the Geoff Ayton      Classic, and member social events.
  • Coordinate event logistics, schedules, and volunteers.
  • Ensure events comply with club policies and risk guidelines.
  • Work closely with the Membership Director to promote events.

Secretary & Communications:

  • Prepare agendas and record minutes for Board meetings and the AGM.
  • Maintain official club records, policies, and correspondence.
  • Manage club communications, including:
    • Website updates
    • Member emails and newsletters
    • Social media postings (as appropriate)
  • Ensure timely, clear, and consistent communication of:
    • Events
    • Policies
    • Registration timelines
    • Club updates and announcements

Membership Director

  Purpose:
Manages membership experience, communications, and retention.


Term:
1 year term, maximum of 3 terms. Eligible to switch board role when maximum term reached.


Core Responsibilities:

  • Act as the primary contact for all membership inquiries.
  • Manage applications, renewals, waitlists, and member records.
  • Coordinate membership      payments with the Treasurer.
  • Lead member onboarding and retention initiatives.
  • Maintain accurate membership databases and statistics.
  • Support communications      related to:
    • Registration
    • Member updates
    • Policy reminders
  • Assist with volunteer recruitment from the membership base.
  • Support resolution of member concerns in coordination with the President and Vice President.
